How to use this work order template
Getting started
Download the file and open it in Excel, Google Sheets, or LibreOffice Calc. Pick the tab that matches your industry. If you issue work orders across multiple types (for example, a manufacturer that also handles facility maintenance), use both the Manufacturing WO and Maintenance WO tabs, then log everything in the WO Tracker. Save the original file as your master template and create a new copy for each work order, or use the tracker tab to keep a running log in one file.
Filling out a work order form
Start with the header: assign a WO number, set the priority and due date, fill in the project/asset/product details. Move to the scope or problem description. List the materials, parts, or BOM items required. Estimate labor hours and rates. The template calculates costs automatically as you fill in quantities and rates. When the work is done, come back and fill in the actual hours, actual costs, and completion fields. The variance columns will show you where the job ran over or under.
Using the tracker
Every time you issue a new work order, add a row to the WO Tracker tab. Update the status column as work progresses (Open, In Progress, Complete). Construction work orders: what makes them different
Construction work orders operate in a project-based environment where multiple trades work on the same site simultaneously. The construction WO form reflects this with project name and location fields, trade/area zone identifiers, equipment tracking (rentals are a major cost line in construction), and safety/permit sections.
The four-party sign-off chain (issued, accepted, completed, inspected) maps to how construction projects actually flow: a project manager issues the WO, the trade lead accepts it, the crew completes the work, and a superintendent or inspector verifies it meets spec.
