What is inside the template
The download has three tabs. Tab 1 is a single-level costed BOM: part number, description, quantity per unit, unit of measure, unit cost and an auto-calculated extended cost, with a material subtotal, a scrap allowance and a total material cost per unit. Tab 2 is a multi-level (indented) BOM that shows how sub-assemblies roll up into the finished good. Tab 3 is a cost rollup that adds labor and overhead to the material cost and works out a suggested unit price.

The parts of a bill of materials
Whatever you make, a usable BOM captures the same core fields for every component that goes into the product:
- Part number: your internal identifier for the item (raw material, component or sub-assembly). Consistent part numbers are what let a BOM connect to inventory and purchasing later.
- Description: a clear name plus the spec that matters (size, grade, rating). "MCB 1P C-curve 16A" is useful; "breaker" is not.
- Quantity per unit: how many of the component are needed to build one finished unit. This is the number MRP multiplies against your build quantity.
- Unit of measure (UoM): Each, metre, kg, pcs, set. Mixed UoMs are the most common source of BOM errors, so set them explicitly.
- Unit cost and extended cost: the cost of one component and the line total (quantity x unit cost). The template calculates the extended cost for you.
- Revision and date: a BOM changes over the life of a product. Track the revision so everyone builds from the same version.
Single-level vs multi-level BOM
A single-level BOM lists every component that goes directly into one finished product in a single flat table. It is the right format for simple products and for costing, and it is what most people mean by "bill of materials template". Tab 1 of the download is a single-level BOM.
A multi-level (indented) BOM shows structure: the finished good at level 0, its sub-assemblies at level 1, and the components inside each sub-assembly at level 2 and below. Use it when your product is built from sub-assemblies that are themselves made or stocked. Tab 2 of the download is an indented multi-level BOM you can adapt to your own product tree.
Costed BOM and cost rollup
A costed BOM extends the parts list with cost. Tab 3 of the template takes the total material cost from Tab 1, adds your assembly labor and applied overhead to get a total unit cost, then applies a target margin to suggest a selling price. Keeping material, labor and overhead separate makes it obvious where your cost sits and what a price change to any component does to the finished unit.
How to use this BOM template
- Open in Excel, Google Sheets or LibreOffice. The formulas work in all three.
- Set the product header. Replace the product name, part number and revision on Tab 1.
- Enter your components. Add a row per part with the part number, description, quantity per unit, UoM and unit cost. The extended cost and totals update automatically.
- Map sub-assemblies on Tab 2 if your product is built from sub-assemblies, so the structure is explicit.
- Roll up cost on Tab 3. Add labor and overhead to see the true unit cost and a suggested price.
- Save a revision. When the BOM changes, bump the revision so production and purchasing build from the same version.
Bill of material format for Indian manufacturers (GST)
If you raise BOMs in India and want the same sheet to flow into a GST purchase order or invoice, add two columns to Tab 1: an HSN/SAC code next to the description, and a GST% column after unit cost. Keep the extended cost as the pre-tax value and apply GST at the document stage (most B2B costing is done on pre-tax cost, with GST added on the PO or invoice). What to look for in a good BOM template
Auto-calculated extended cost and totals
Quantity times unit cost, and the material total, should calculate for you. Manual math is where costing errors creep in, especially across dozens of parts.
Room for structure
A flat list is fine for simple products, but a good template also gives you a multi-level view so you can show sub-assemblies rather than flattening everything into one long list.
Consistent part numbers and UoM
The BOM is only as good as its identifiers. Consistent part numbers and explicit units of measure are what let the same data later drive purchasing and inventory instead of being re-keyed.
When you outgrow Excel for BOMs
A spreadsheet BOM is the right place to start and is enough for a single product costed now and then. The trouble starts when the BOM has to drive the rest of the shop:
- The BOM and inventory drift apart. A spreadsheet BOM does not know your stock levels, so it cannot tell you what to buy for a given build.
- Silent gaps. If a component is missing from the BOM, it simply will not appear in a shortage check, and it will not be deducted from inventory when the part is issued. Nothing warns you; the numbers just quietly go wrong.
- Revisions get out of sync. Two people editing two copies of the sheet is how the wrong version reaches the floor.
- No link to work orders or purchasing. Every step from BOM to work order to purchase order to receiving is a manual re-entry.
