Entab CampusCare - India’s Largest School ERP

Entab is the market leader for large private schools and CBSE chains in India. Their CampusCare product covers virtually every school management function: admissions, fees, timetable, attendance, academics, transport, hostel, payroll and parent communication. If your school has 2,000+ students and a dedicated IT team, Entab has the depth to match.

Entab pricing (2026)

Entab does not publish pricing - it is always a custom quote. Based on numbers shared in school admin communities and principal forums, typical costs are:

  • Implementation fee: ₹75,000–2,50,000 one-time (depends on modules and school size)
  • Annual licence: ₹1.5–8 lakh per year (per-module, per-student above a base threshold)
  • Training and support: Usually bundled; on-site training sometimes charged extra
  • Estimated year-1 cost for a 1,000-student school: ₹3–10 lakh

What Entab does well

  • India-specific compliance - CBSE, ICSE and state board result formats built in
  • Deep fee collection module with challan generation, online payment integration and overdue reminders
  • CampusCare parent portal and mobile app
  • Transport management with GPS tracking integration
  • Established in thousands of Indian schools - strong reference network

Where Entab falls short

  • No customisation: You get what Entab built. Workflow changes need a formal change request, which means months of waiting and additional cost.
  • Complex and slow implementation: Entab implementations commonly take 3–6 months with multiple on-site visits. Data migration is the most frequently cited pain point.
  • Expensive for smaller schools: The per-module pricing model is not designed for schools under 500 students. Costs add up fast as you activate more modules.
  • Dated interface: The UI is functional but has not been modernised significantly in years. Staff adoption takes effort.
  • No self-serve changes: Every form, report format or workflow change must go through Entab’s support team.

Bottom line: If you run a large school with 1,500+ students and need proven Indian board compliance with deep fee management, Entab is worth the cost. For schools under 1,000 students or those that need workflow flexibility, the cost and rigidity will create friction.

Fedena - The Open-Source Veteran

Fedena started as an open-source school management system built on Ruby on Rails. It is now a commercial SaaS product, though the open-source version still exists for schools with developer resources. Fedena is popular in tech-forward schools across India, Southeast Asia and Africa.

Fedena pricing (2026)

  • Fedena Cloud (SaaS): Approximately ₹4,999/month for up to 500 students, ₹8,999/month for up to 1,000 students. Some modules (transport, hostel) are paid add-ons.
  • Annual cost: ₹60,000–1,10,000/year for a mid-size school
  • Fedena Open Source (self-hosted): Free - but you pay for hosting (₹15K–50K/year for a managed server) and need in-house technical resources to set up, maintain and upgrade

What Fedena does well

  • Comprehensive academic module: curriculum planning, gradebooks, result processing
  • API access on higher tiers - useful for schools that need integrations
  • Active global user community and documentation
  • Multiple language support
  • Good value compared to Entab for mid-size schools with standard workflows

Where Fedena falls short

  • Dated interface: Fedena’s UI is functional but not modern. Staff who use consumer apps daily find it clunky and slow.
  • Module-by-module cost: The base price sounds reasonable, but transport, hostel and advanced reporting modules are paid add-ons that push the real cost higher.
  • Self-hosted complexity: The open-source version requires Ruby on Rails expertise. Most schools end up on the cloud version regardless.
  • Weak admissions CRM: Fedena’s admissions module is basic. It does not handle enquiry tracking, counsellor assignment or multi-stage follow-up sequences well.
  • Support inconsistency: Multiple users report slow response times on the basic plan.

Bottom line: A good fit for tech-confident schools that want comprehensive academics at a reasonable price. The open-source path is only viable with an in-house developer. For admissions-heavy workflows or complex fee management, you will hit limitations.

Teachmint - The Ed-Tech Newcomer

Teachmint started as a live-class app during COVID-19 remote learning and has since expanded into school ERP. It is well-funded and heavily marketed, which often leads schools to consider it for full school management. The reality is more nuanced.

Teachmint pricing

Teachmint does not publish school ERP pricing publicly - a sales call is required. Based on community discussions, the integrated school management platform is typically priced per student per year, estimated at ₹100–300 per student annually. For a 1,000-student school that is ₹1–3 lakh/year, but exact pricing depends on your negotiating position and which modules you activate.

What Teachmint does well

  • Strong live-class and LMS features - if online or hybrid teaching is central to your school, this is where Teachmint excels
  • Modern mobile-first interface that staff and students find intuitive
  • Lower implementation overhead than Entab or Vidyalaya
  • Solid parent communication features

Where Teachmint falls short

  • ERP depth is still maturing: Fee management, timetabling and HR/payroll are not as deep as Entab or Fedena. Schools using Teachmint for full ERP frequently report workflow gaps.
  • No customisation: Like all SaaS, you adapt your school’s workflows to Teachmint’s model.
  • Opaque pricing: Sales-call-only pricing makes comparison difficult and creates pressure to buy quickly.
  • Product stability risk: Teachmint has pivoted its product strategy several times. Features that were present in an earlier version have been changed or removed, affecting schools that built workflows around them.

Bottom line: Best for schools where live online classes are a major part of the offering. As a full school management ERP for operational depth (admissions, fees, timetable), it is not yet at the level of Entab or Fedena.

Vidyalaya School ERP - The Traditional Option

Vidyalaya is one of India’s older school ERP vendors, covering admissions, academics, fees, HR, transport and library. It is positioned as a full replacement for paper-based school administration and has a long presence in the market.

Vidyalaya pricing

Vidyalaya pricing is quote-based, typically ₹1.5–4 lakh per year for mid-size schools including implementation. Annual maintenance charges (AMC) are applied separately at roughly 15–20% of implementation cost per year.

What Vidyalaya does well

  • Wide range of school admin functions out of the box
  • Long track record in Indian schools
  • Strong result processing and report card generation for Indian boards

Where Vidyalaya falls short

  • Very dated UI: Multiple users describe the interface as resembling early 2000s software. Staff training overhead is significant.
  • Rigid workflows: Vidyalaya implements its own process for each function. Non-standard school workflows are not accommodated.
  • Support quality varies by region: Service quality depends on your local Vidyalaya implementation partner.
  • On-premise focus: Cloud migration has been slow; many installations still run on-premise, creating IT maintenance overhead.

Bottom line: Reliable for schools that want a traditional ERP and are not bothered by an outdated UI. Not a good fit for schools that prioritise modern interfaces, parent engagement or admissions CRM workflows.

SchoolLog - The Affordable Option

SchoolLog targets smaller and budget-conscious schools with a simplified management system covering attendance, fees, academics and parent communication - without the complexity or cost of enterprise players.

SchoolLog pricing

SchoolLog typically starts around ₹30,000–1,50,000 per year depending on school size and modules. It is one of the more transparent pricers in this market.

What SchoolLog does well

  • Quick setup - schools can go live in 1–2 weeks
  • Affordable for small schools under 300 students
  • Covers essential daily operations: attendance, fee alerts, homework

Where SchoolLog falls short

  • Limited admissions management and no CRM capability
  • Basic reporting - custom report formats not supported
  • Minimal customisation of any workflow
  • Smaller support team than Entab or Fedena

eSkooly - The Free Starter

eSkooly offers a free school management system for very small schools. It is a reasonable way to digitise attendance and fee records without any upfront cost. The paid plans add capacity and some features but remain affordable.

eSkooly pricing

  • Free plan: basic attendance and fee records for a limited student count
  • Paid plans: from approximately ₹2,500–5,000 per month for more students and features

Where eSkooly falls short

  • Very limited feature set - not suitable for schools needing timetabling, result processing or admissions CRM
  • No native mobile app
  • Minimal customisation
  • Email-only support

Fuzen School Management Software - Two Options

Option 1: The Free School Starter Template (what you downloaded)

The free template is a fully working school management system built on the Fuzen platform. Here is exactly what it includes:

  • Student database: Student profiles, class assignments, guardian contacts
  • Daily attendance: Class-level attendance with absence alerts to parents
  • Fee management: Fee schedules, payment records, overdue tracking
  • Homework and assignments: Teacher uploads, student submissions
  • Timetable: Class schedule management
  • Notice board: School-wide and class-specific announcements
  • Exam and results: Basic marks entry and result reports
  • Staff records: Staff profiles and basic HR records
  • Parent notifications: Automated alerts for attendance, fees and notices

What the free template is good for: Schools under 200 students that want to move off paper or WhatsApp group for day-to-day management. It is also the right way to test Fuzen’s platform before committing to a custom build.

Where it hits limitations: The free template is a starter built around a generic school workflow. As your school grows, you will find yourself adapting your processes to fit the template - rather than the system fitting your school. Your specific admissions stages, fee structure, report card format and parent communication rules are not in there by default.

Option 2: Custom-Built School Management on Fuzen

This is where Fuzen is genuinely different from every other option on this list. Instead of selling you a pre-built product, Fuzen builds a custom school management system from scratch - around your exact workflows, data structure and requirements - and hands it over to you.

A typical bespoke Fuzen school build includes:

  • Admissions CRM: Website enquiry capture, lead pipeline (Enquiry → Contacted → Visited → Applied → Enrolled → Dropped), counsellor assignment, automated follow-up sequences, open day registration management, yield nurturing
  • Fee management: Multi-head fee structure (tuition, transport, activity, hostel), automated challan generation, payment gateway integration (Razorpay, PayU, CCAvenue), overdue reminder workflows, concession management, sibling discounts
  • Academic management: Timetable builder (teacher-subject-section conflict checking), class and subject-level attendance, gradebook with your calculation rules, progress report generation in your exact format
  • Parent portal: Real-time attendance, fee payment history, homework portal, direct teacher messaging
  • Staff and HR: Staff attendance, leave management, payroll calculation, performance records
  • Library: Book catalogue, issue and return, overdue fine management
  • Transport: Route management, student allocation, driver tracking
  • Exam and results: Custom exam scheduling, marks entry, report card generation in your school’s format
  • Custom reports: Any report you currently run on Excel, rebuilt as an automated in-system report
  • Integrations: Tally for fee accounting, your payment gateway, your school website, WhatsApp Business API for parent notifications

Pricing: Starts from ₹25,000 for the School Pro template (17 modules). Fully custom builds with bespoke workflows, integrations and your branding are scoped after an initial call. Unlike Entab or Vidyalaya, there is no annual licence fee - the school owns the system outright and the cost does not increase as enrolments grow.

Timeline: 3–4 weeks from scoping call to handoff for a standard build. Complex builds (multi-campus, custom integrations with Tally or payment gateways) take 5–7 weeks.

Workflow-by-Workflow: How the Platforms Actually Compare

Why Schools Are Moving Away from Fixed School ERP

The schools that contact us most often have one thing in common: they have spent years adapting their workflows to fit their school management software, instead of the software fitting their school.

The admissions workflow problem

Standard school ERP systems treat admissions as form-filling. Your coordinator fills in an enquiry form, prints it, and manually follows up by phone. Meanwhile a parent who enquired online three weeks ago has gone quiet because nobody tracked the follow-up. A proper admissions CRM tracks every enquiry from first contact to enrolment - with automatic follow-up tasks, counsellor assignment, open day invitations and a pipeline view so your principal can see conversion rates at a glance. Entab, Fedena and Vidyalaya all have admissions modules. None have a real CRM. Fuzen builds it the way your admissions team actually works.

The fee collection integration problem

Your school’s fee structure took years to design: tuition split by section, transport by route, activity fees optional, sibling discounts, scholarship concessions, GST on certain heads. Most school ERP systems can handle the basics, but your specific combination of rules is always slightly different from what the software expects. So someone ends up maintaining a parallel Excel sheet. A custom-built system encodes your exact rules from day one - and connects to Tally so accounts are reconciled automatically.

The data ownership problem

When you are three years into Entab or Fedena, your school’s data - student records, fee history, attendance, results - lives in their system. Switching means a complex and expensive migration. Annual licence fees are effectively permanent because leaving is painful. With a Fuzen build, your school owns the database. You can export anything, integrate anything and migrate without needing permission from a vendor.

Frequently Asked Questions

Is the Fuzen free template as capable as Fedena or Entab?

For small schools (under 200 students) doing basic administration, the free template covers the essentials well. For larger schools or those with complex admissions, multi-head fee or custom reporting requirements, Entab and Fedena have more depth - but at significantly higher recurring cost. The more meaningful comparison is a custom Fuzen build vs Entab or Fedena: Fuzen is typically faster to implement, fully customised to your workflows and owned outright with no annual licence.

How long does it take to build a custom school management system on Fuzen?

Standard builds take 3–4 weeks from the scoping call to handoff. Complex builds involving multi-campus management, Tally integration or custom report card formats take 5–7 weeks. Compare this to Entab implementations, which schools typically report taking 3–6 months with multiple on-site visits.

Can Fuzen integrate with Tally for fee accounting?

Yes. Custom Fuzen builds can integrate with Tally, your school’s payment gateway (Razorpay, PayU, CCAvenue), WhatsApp Business API for parent notifications, and any other system that has an API or data export. Integration requirements are captured during the initial scoping call and built into the system from the start.

What does a Fuzen custom build cost compared to 3 years of Entab?

A typical Entab implementation for a 1,000-student school (implementation fee plus 3 years of annual licence) runs ₹10–25 lakh. A Fuzen custom build for the same school is a one-time cost, with no annual licence as the school grows. The School Pro template starts at ₹25,000; fully custom builds are scoped after an initial call. Most schools recover the cost difference within the first year.

Can I migrate our data from Fedena, Entab or Vidyalaya to a Fuzen system?

Yes. Migration from Fedena, Entab, Vidyalaya or any system with data export capability is a standard part of Fuzen build scoping. Student records, fee history, attendance and results can all be migrated. The timeline adds 1–2 weeks depending on data volume and quality of the export from the existing system.

Does Fuzen provide support after the system is delivered?

Yes. All Fuzen builds include managed hosting and ongoing support. If you need to change a workflow, add a new module or fix an issue, you raise a support ticket and it is handled by the Fuzen team. There is no need to hire a developer or wait for a software vendor’s release cycle.
