Annual Maintenance Contract (AMC): Meaning, Types, and AMC vs CMC
An annual maintenance contract (AMC) is a yearly agreement in which a service provider looks after a customer's equipment for a fixed fee: scheduled preventive visits, plus repairs when something breaks. What the fee covers depends on the type of AMC. A comprehensive AMC usually includes spare parts; a non-comprehensive AMC usually covers labour and service visits while the customer pays for parts. That one difference decides who pays when a compressor or a motor fails, so it is the first thing to settle on any AMC.
This guide explains what an AMC is, the four contract types service businesses in India sell, how an AMC differs from a CMC, and a worked example of how the type decides who pays for a breakdown. It is written for businesses that sell AMCs on air conditioners, water purifiers, lifts, CCTV, fire safety systems, DG sets and lab equipment, and for buyers comparing AMC quotes.

What is an annual maintenance contract?
An annual maintenance contract is a service agreement, usually for twelve months, between the business that services a piece of equipment and the customer who owns it. The customer pays a fixed amount up front or in instalments. In return the provider commits to a number of preventive maintenance visits in the year and to attending breakdowns, on terms written into the contract.
Most AMCs, whatever their type, spell out the same handful of things:
- The equipment covered: make, model and serial number of each unit, and the site where it is installed.
- The contract period: start and end dates, normally one year.
- Visits per year: for example 4 preventive visits, one every 3 months.
- What a breakdown call covers: labour only, or labour and parts, and any parts that are excluded.
- Response time for breakdowns, if the provider commits to one.
- The contract value and payment terms, with GST shown separately.
- Renewal terms: whether the contract renews at the same price or at a revised one.
For the provider, an AMC turns one-off installation customers into recurring revenue. For the customer, it replaces unpredictable repair bills with a known yearly cost and keeps the equipment serviced on schedule.
Types of AMC: comprehensive, non-comprehensive, labour only and warranty extension
The four types below are the ones service businesses commonly sell. Providers use the names loosely and the boundaries between them overlap, so treat this table as the usual meaning, and always read what a specific contract actually says.
| Contract type | Preventive visits | Labour on breakdowns | Spare parts | Usually chosen when |
|---|---|---|---|---|
| Comprehensive AMC | Included | Included | Included, apart from any parts the contract excludes | The customer wants a fixed yearly cost and no surprise repair bills |
| Non-comprehensive AMC | Included | Included | Paid by the customer; some providers include consumables | The equipment is fairly new and a lower contract price matters more |
| Labour only | Depends on the contract | Included | Paid by the customer, consumables included | The customer buys parts directly or already holds spares |
| Warranty extension | Depends on the contract | Included for covered defects | Covered defective parts included | The manufacturer warranty is ending and the customer wants repair cover to continue |
Comprehensive AMC meaning
A comprehensive AMC covers scheduled maintenance and breakdown repairs, including the labour and the spare parts needed to fix the equipment. Indian providers describe it in the same terms: Aster India, for example, states that its comprehensive AMC includes all parts and labour. Most comprehensive contracts still list exclusions, often physical damage, misuse, consumables or specific expensive assemblies, so the exclusions clause is where comprehensive contracts really differ from one another.
Non-comprehensive AMC meaning
A non-comprehensive AMC covers the scheduled visits and the labour for repairs, but the customer pays for any part that has to be replaced. It is cheaper than a comprehensive AMC because the provider does not carry the risk of a costly part failing. Government buyers use the same split: tenders published on the Government e-Marketplace (GeM) ask for a "Non-Comprehensive Annual Maintenance Contract (NC-AMC)" with periodic maintenance as the core of the job.
Comprehensive and non-comprehensive AMC: which one to sell or buy
The choice is about who carries the parts risk. On newer equipment that rarely needs parts, a non-comprehensive AMC is often enough. On older equipment, or where one failed component costs more than a year of the contract, a comprehensive AMC makes the yearly cost predictable. For the provider, pricing a comprehensive AMC means knowing the age and condition of each unit before quoting, which is why many providers inspect equipment before offering one.
Labour-only AMC
A labour-only contract covers the technician's time and nothing else. Many providers use the words "non-comprehensive" and "labour only" for the same thing; where a business sells both, the usual difference is that a non-comprehensive AMC may include minor consumables while a labour-only contract does not. If you sell both, define the difference in writing so customers can compare them.
Warranty extension
A warranty extension continues repair cover for defects after the manufacturer's warranty ends. It is closer to a comprehensive AMC on parts, but whether it also includes scheduled preventive visits depends entirely on the terms, so state the visit count on the contract either way.
AMC vs CMC: what is the difference?
CMC stands for comprehensive maintenance contract. Where both terms are used, AMC usually means the contract for scheduled servicing and labour, and CMC means the contract that also covers spare parts. This usage is common for medical equipment and in government tenders in India, where buyers often compare an AMC and a CMC quote for the same machine: an AMC costs less each year but leaves the buyer exposed to the price of a major part, while a CMC costs more and makes the yearly spend predictable.
| AMC (in AMC vs CMC usage) | CMC | |
|---|---|---|
| Full form | Annual maintenance contract | Comprehensive maintenance contract |
| Scheduled maintenance | Included | Included |
| Spare parts | Usually paid by the customer | Usually included, apart from listed exclusions |
| Yearly cost | Lower | Higher |
| Who carries the parts risk | The customer | The provider |
One caution: plenty of providers call a parts-inclusive contract a "comprehensive AMC" and never use the word CMC at all, so a CMC and a comprehensive AMC are often the same thing under two names. As one Indian guide on warranty, AMC and CMC in government tenders puts it, the difference is in which repairs and spare parts the contractor is responsible for. Read the parts clause, not the label.
Worked example: the same breakdown under two contracts
The numbers below are an illustration chosen to show the arithmetic, not market rates.
A clinic has two split air conditioners. Its provider offers two contracts for the year:
- Non-comprehensive AMC: Rs 6,000 before GST, 4 preventive visits, labour on breakdowns included, parts extra.
- Comprehensive AMC: Rs 11,000 before GST, the same visits, labour and parts included except gas refills.
In month eight, one unit's fan motor fails. The replacement motor costs Rs 4,500 and the visit takes two hours.
| Illustration | Non-comprehensive | Comprehensive |
|---|---|---|
| Contract value for the year | Rs 6,000 | Rs 11,000 |
| Labour for the breakdown | Covered | Covered |
| Fan motor | Rs 4,500, billed to the clinic | Covered |
| Clinic's total for the year | Rs 10,500 | Rs 11,000 |
With one part failure the two contracts cost the clinic almost the same. With no failure, the non-comprehensive contract saves Rs 5,000; with two failures, the comprehensive contract saves money. That is the whole decision in one table, and it is also why the provider needs to know, at the moment a call comes in, which of the two contracts the customer is on. GST applies on top of these amounts and on any parts bill.
How to record the contract type so every call is billed correctly
Most disputes over AMCs start with a technician who did not know what the customer's contract covered. A spreadsheet with a "type" column helps until the customer list grows; after that, the contract type needs to sit on the record your team opens when a breakdown call comes in.
In Fuzen AMC Hub, each contract stores its type (comprehensive, non-comprehensive, labour only or warranty extension), the customer and site, the equipment covered, start and end dates, the value before GST, visits per year and payment terms. Saving the contract builds its visit schedule: 4 visits a year gives one visit every 3 months from the start date.

When a breakdown call is logged, the app suggests the live contract for that customer's site and shows a coverage line before you save. A call under a live contract shows Covered: included in the contract, with no invoice offered. A call with no live contract, or on an expired one, shows Chargeable, with a field for the charge and a Raise invoice button once the call is saved.

One thing to know before relying on it: AMC Hub marks any call under a live contract as covered, whatever the contract type. The type stays visible on the call (the contract shows as, for example, "AMC-0009 (Comprehensive)"), so your team can see when a part is the customer's cost, but the app does not track spare parts or bill them. On a non-comprehensive or labour-only contract, charge parts the way you do today. The step-by-step guide for breakdown calls in AMC Hub shows the full flow, and the contracts guide covers setting a contract up.
Frequently asked questions
What is an annual maintenance contract?
An annual maintenance contract (AMC) is a yearly agreement in which a service provider maintains a customer's equipment for a fixed fee, through scheduled preventive visits and repairs when it breaks down. What the fee covers, especially spare parts, depends on the type of AMC.
What is the meaning of comprehensive AMC?
A comprehensive AMC covers scheduled maintenance, labour on breakdowns and the spare parts needed for repairs, apart from any parts the contract specifically excludes. It costs more than a non-comprehensive AMC because the provider carries the cost of parts.
What is a non-comprehensive AMC?
A non-comprehensive AMC covers scheduled visits and labour on repairs, but the customer pays for any part that is replaced. Some providers include minor consumables in a non-comprehensive AMC.
What is the difference between AMC and CMC?
CMC means comprehensive maintenance contract. Where both terms are used, an AMC covers servicing and labour while a CMC also covers spare parts, so a CMC costs more but makes the yearly cost predictable. Many providers call the same parts-inclusive contract a comprehensive AMC, so check the parts clause rather than the name.
What are the types of AMC?
The common types are comprehensive (labour and parts), non-comprehensive (labour, parts paid by the customer), labour only, and warranty extension (repair cover for defects after the manufacturer warranty ends). Providers use the names loosely, so the contract wording is what counts.
Is a comprehensive AMC worth it?
It is usually worth it on older equipment or where a single part failure would cost more than the difference between the two contract prices. On new equipment that rarely needs parts, a non-comprehensive AMC is often enough. Compare the price difference with the cost of the parts most likely to fail.
What should an AMC document include?
The equipment covered with serial numbers, the site, start and end dates, visits per year, what breakdown calls cover including parts and exclusions, response time if any, the contract value with GST shown separately, payment terms and renewal terms.
