Start with the sheet you already have. The app matches the columns it recognises, such as Brand to Make, and you choose the rest on the mapping screen.
Rows whose customer or site does not match are still imported and listed with their row number and the reason, so no unit goes missing on the way in.
Preventive maintenance visits
Every visit the contract promises, on a schedule
Create a contract, choose the customer, site and equipment, and set the visits per year. The schedule builds itself: 4 visits a year gives one every 3 months.
Visits due this month are grouped by technician. Click WhatsApp to open a reminder with the customer's number and the message filled in, then press send.
When the work is done, mark the visit complete with notes and a photo. The photo stays on the visit, and overdue visits stand out on the Visits page and the dashboard.
AMC renewals
Catch renewals before they lapse
The renewals list shows every contract expiring in the next 30 days. Click Renew, enter your price change, and you are done.
The new contract gets its own visit schedule, and the old one is marked renewed and linked to it, so the history stays in one place.
Breakdown calls
Covered or chargeable, decided for you
When a customer calls with a breakdown, log the call against their equipment. A call under a live contract is marked covered, with no invoice.
A call out of contract is marked chargeable, with a Raise invoice button, so billable work does not go unbilled.
Billing
GST invoices and part payments
Raise contract invoices and service invoices with the GST rate from your settings. The PDF shows the CGST and SGST split, and invoice numbers are assigned automatically.
Record each payment as it arrives, including part payments. The outstanding amount drops, and the invoice stays open until it is paid in full.
